Privacy Policy
This Privacy Policy describes how UTAKPOS INC. ("UTAK", "we"), a corporation organized under the laws of the Republic of the Philippines, handles data in UTAK Lead Center — the internal tool UTAK staff use to manage leads, customer conversations, and product demos for UTAK's own business accounts. It applies to the data UTAK handles through the Lead Center. The public utakleadcenter.shop domain is used to publish this policy, the terms, and the data-deletion information, and to host UTAK's platform integration endpoints; the operational dashboards are reached only through UTAK staff sign-in.
UTAK Lead Center is used only by authorized UTAK staff; it is not offered to the public or to other businesses. The people whose information UTAK processes — for example, someone who messages one of UTAK's business accounts or submits a lead form — never sign in to or access the tool and do not need an account; this policy explains how UTAK handles their data and how they can exercise their rights over it. UTAK's company-wide privacy commitments are set out in UTAK's Privacy Policy and, under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), its Data Privacy Notice; this policy adds the specifics of the Lead Center.
Data we process
- Leads. Information people submit in response to UTAK's advertising — such as name, contact details, business name, and form answers — delivered to UTAK through the advertising platform's APIs.
- Conversations. Messages, comments, and attachments (such as text and images) exchanged with UTAK's own connected business accounts, with related identifiers and timestamps.
- Demo bookings. Scheduling details for product demos, such as the requested time, contact information, and outcome.
- Campaign data. Identifiers and performance metrics for UTAK's own pages, ad accounts, campaigns, and lead forms.
- Staff account and audit data. Accounts of authorized UTAK staff, sign-in records, and activity logs.
- Technical logs. Records needed for security, webhook verification, deduplication, debugging, and incident response.
How we use data
- To receive and organize leads and customer conversations for UTAK's own follow-up.
- To prepare and send replies to customers. Reply suggestions may be drafted with AI assistance; a UTAK staff member reviews every outbound message before it is sent.
- To qualify leads, schedule product demos, and keep one accurate operational record.
- To measure how UTAK's own campaigns perform.
- To secure the service: verifying platform callbacks, preventing unauthorized access, and keeping audit trails.
We do not sell this data, use it for third-party advertising, or build profiles unrelated to UTAK's own lead and customer operations.
Service providers
UTAK uses a small set of vetted service providers to operate the Lead Center: hosting and infrastructure providers that run the service, and AI processing to classify and summarize conversations, find relevant context, and draft reply suggestions for UTAK staff to review. UTAK uses only AI processing providers under zero-data-retention terms. They do not retain UTAK data or use it to train their models, and they process it solely on UTAK's instructions and for UTAK's purposes. Data is shared only to the extent needed for these functions, and outbound messages are always reviewed and sent by a UTAK staff member.
Platform data
Data received from Meta and, if approved, TikTok is used only for the purposes described above, in accordance with those platforms' terms and policies, and only for business accounts owned or authorized by UTAK. We keep platform data no longer than needed and delete it when it no longer serves a legitimate business purpose, when the related service is discontinued, or on a valid deletion request.
Data deletion
- Platform-initiated requests. If you remove UTAK's app from your account or ask the platform to delete your data (for example through your Facebook settings), UTAK deletes the data linked to your account. When the platform delivers the request through its automated deletion callback, deletion runs automatically and we return a confirmation code with a status link where you can check the result.
- Direct requests. Email connect@utak.io with the subject "Data Deletion Request" and enough detail for us to find your data (for example the name or contact details you used). We verify the request and delete or anonymize the matching data, unless limited retention is required for security or legal reasons — in which case we tell you what is retained and why.
- Your rights. Under the Data Privacy Act of 2012 you may request access, correction, or erasure of your personal data, object to processing, and lodge a complaint with the Philippine National Privacy Commission. Requests go to the contacts below.
Retention and security
Data is kept only as long as needed for UTAK's operations, security, and legal obligations. Access is limited to authorized UTAK staff through individual accounts with role-based permissions; connections use TLS; integration callbacks are accepted only on verified, allowlisted endpoints; and administrative activity is logged.
Changes
We update this policy when the service or our obligations change. The current version is always available at this address; the date above reflects the latest revision.
